Unless specifically agreed with you, we will only collect personal data about you which does not include any special categories of personal information about you (also known as ‘sensitive personal data’. The information will however include details such as your name, address, e-mail address and is detailed on the School Let booking form.
Your information is being collected for the following purpose:
To make a booking for use of a primary school outwith school hours
We need to know this basic personal data in order to provide you with the services we provide and to establish our rights in relation to those services, as detailed in the contract (or service agreement) we have with you. If you do not provide this information then we will be unable to provide those services to you. We will not collect any personal data from you that isn’t needed for delivery of those services.
The legal basis for collecting your information in these circumstances is:
Public Interest: the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller
Performance of a contract: We will act in accordance with the contract issued to you with regard to your school let
All of the information we collect from you will be processed by staff in the United Kingdom.

You should also be aware that your data will be stored on servers located within the United Kingdom; the data will not be processed outside the European Union. We will take all reasonable steps to ensure that your data is kept securely and more information on how we do this can be provided on request to the Data Protection Officer, or to School Support: 01369 704000.
We will usually keep your information for a minimum of 1 year. After this period it will be destroyed under secure arrangements if it is no longer required for the lawful purpose for which it was obtained.
You may request to have your data removed at any time provided you do not have any school lets planned. More information on our retention schedule can be provided on request to the Data Protection Officer, or to School Support: 01369 704000.
No automated decision making will be undertaken.
